Policy Balance Hub is a cloud-based insurance premium reconciliation platform that provides automated matching of payments, commissions, and carrier statements. The Service includes carrier statement OCR, commission split tracking, trust account compliance monitoring, and related features.

3. Account Registration

To use the Service, you must create an account and provide accurate, complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

4. Subscription and Billing

The Service is offered on a subscription basis. Pricing details are available on our Pricing page. All fees are non-refundable unless otherwise specified. We reserve the right to change pricing with 30 days written notice. Billing is processed securely through Stripe.

5. Free Trial

We offer a 14-day free trial for new accounts. No credit card is required to start a trial. At the end of the trial period, you must subscribe to a paid plan to continue using the Service.

6. Your Data

You retain all rights to the data you upload to the Service. We do not claim ownership of your data. We process your data solely to provide the Service and as described in our Privacy Policy. You are responsible for ensuring you have the right to upload any data you provide.

7. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorized access to the Service or other accounts
  • Interfere with or disrupt the integrity of the Service
  • Upload malicious code, viruses, or harmful data
  • Resell, sublicense, or redistribute the Service without authorization
  • Reverse engineer, decompile, or disassemble the Service

8. Intellectual Property

11. Termination

Either party may terminate the subscription at any time. Upon termination, your access to the Service will be discontinued. We will make your data available for export for 30 days following termination. After that period, we permanently delete non-financial operational data that is not subject to regulatory retention (such as account settings, notifications, and processed import and email records). Financial records (including policies, transactions, commissions, and carrier statements), the personal information embedded in those records, and immutable audit logs are retained indefinitely to meet insurance record-keeping obligations and the requirements of the Gramm-Leach-Bliley Act (GLBA). If you submit a verified deletion request, we anonymize the personal identifiers within these retained records rather than deleting the records themselves. 12. Changes to Terms

We reserve the right to modify these Terms at any time. We will provide notice of material changes via email or through the Service. Your continued use of the Service after such modifications constitutes acceptance of the updated Terms.

13. Governing Law
