Three steps, then it's automatic

1. Connect a statements mailbox

Point PolicyBalance at a mailbox you own — most agencies use a dedicated address like [email protected]. The connection uses standard IMAP over TLS, and your credentials are encrypted at rest.

2. Map carrier senders once

Tell PolicyBalance which sender addresses or domains belong to which carrier. From then on, every statement that arrives files itself against the right carrier automatically.

3. Statements parse and reconcile themselves

The inbox is polled every few minutes. PDF, CSV, and Excel attachments become carrier statements, the OCR engine extracts line items, and successfully parsed statements kick off an auto-reconciliation run — before anyone opens an email.
